SAP Fieldglass:

• Billing amounts

QuickBooks Online:

• Customer information
• Invoice records

Microsoft Graph API:

• Email messages (for invoice notifications and one-time passwords)
• Email metadata (sender, subject, timestamps)

Automatically Collected Information

When the Application runs, it may collect:

• Execution logs and timestamps
• Error messages and diagnostic data
• API response metadata

2. How We Use Your Information

We use the collected information to:

• Transfer invoice data from SAP Fieldglass to QuickBooks Online
• Authenticate with third-party services
• Retrieve one-time passwords for multi-factor authentication
• Monitor and improve the Application’s functionality
• Troubleshoot errors and technical issues

3. Data Storage and Retention

• API Tokens: OAuth tokens are stored locally and in GitHub Secrets for authentication purposes. Tokens are automatically refreshed as needed.
• Invoice Data: Invoice data is processed in memory and not persistently stored by the Application. Data resides in SAP Fieldglass and QuickBooks Online per their respective retention policies.
• Logs: Execution logs may be retained for troubleshooting purposes and are deleted periodically.

4. Data Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties. We may share information in the following circumstances:

• Service Providers: With third-party services (SAP Fieldglass, QuickBooks Online, Microsoft) as necessary to operate the Application
• Legal Requirements: If required by law, regulation, or legal process
• Business Transfers: In connection with a merger, acquisition, or sale of assets

We implement appropriate technical and organizational measures to protect your information, including:

• Encryption of API credentials and tokens
• Secure storage using GitHub Secrets
• Limited access to production systems
• Regular security updates
